Visa and Letter of Invitation

If you need a visa to attend the EORTC CLTG 2025 Annual Meeting, please apply as soon as possible. All delegates requiring an invitation letter for visa application purposes may request it during the online registration. Letters of invitation will not be issued without receiving the registration and payment of the required registration fees. Please note that the organizers will not be able to contact or intervene with any embassy or consulate office on behalf of a delegate. Should your visa application be declined, you can send a request for a full refund of the registration fees to the EORTC CLTG 2025 Meeting Registration Secretariat by e-mail at [email protected] before 31st May 2025. A scanned copy of the visa decline letter should be attached to your request. For requests received as from 31st May 2025, the cancellation policy for general meeting registrations will apply.

Banking Facilities and ATMs

Banks in Athens are generally open from Monday to Friday, from 08:00 to 14:00.

There are cash machines (ATMs) nearby. The closest one is 5-6 minutes walking distance from the meeting venue.

Admission badges

Participants will receive their badges onsite at the registration desk.

The meeting badge should be worn by all participants, at all times during the meeting to ensure access to the relevant areas. This includes the scientific sessions, the coffee-breaks and lunches, the exhibit area and other areas of the meeting venue as well as the social activities.

Only participants wearing their meeting badge will be admitted to the scientific sessions, to the exhibition and to the social events and catering.

Cancellation of the Meeting

The EORTC CLTG 2025 Annual Meeting Organization reserves the right to cancel the meeting, shift venue, or change dates without notice, in case of "force majeure". Neither EORTC CLTG 2025 Annual Meeting nor the PCOs shall be liable for any damage claims (including without limitation, war, strikes, floods, governmental restrictions, power, telecommunications or internet failures, or malicious damage).

Insurance, Liability

All participants are reminded that the EORTC CLTG 2025 Annual Meeting Organization (EORTC CLTG, PCOs and Meeting Venue) are not liable for any losses, accidents or damage to persons or private property. Participants and accompanying persons are strongly advised to make their own arrangements in respect to health, personal and travel insurance in their country of origin. Participation in all excursions, tours etc. is at personal risk.

Wireless internet is available in all areas at the conference venue during the conference time.

Mobile Phones

All participants are asked to switch mobile phones off or to silent mode during the scientific sessions.

Smoking

Smoking is not permitted in closed public areas, including the conference venue and the atrium, airports, hotels, restaurants, shops, or workplaces and is only allowed in specific designated/signed areas.

Greece is +2h GMT/UTC during standard time.

Electricity

In Greece the electrical current is 220V, AC (50 Hz). Electrical sockets comply with European regulations.

Weather

The weather in Athens starts to cool off significantly in October, and especially at night. The average temperature this month is 19°C (66°F), while the average low drops to 15°C (59°F ) and the average high is a pleasant 23°C (74°F).
